Privacy Policy

This Privacy Policy explains how the NAMA Events mobile application collects, uses, stores, shares, and protects personal information.

NAMA Foundation ("NAMA", "we", "our", or "us") respects your privacy. This Privacy Policy applies to the NAMA Events mobile application and related event services operated by NAMA Foundation.

The NAMA Events application helps users access event information, participate in sessions, receive notifications, connect with other participants, manage event activities, and access certificates and other event-related services.

By accessing or using the application, you acknowledge the practices described in this Privacy Policy. Where consent is required by applicable law, we will request it before collecting or processing the relevant information.

1. Information We Collect

The information collected depends on your role, the event you participate in, the features you use, and the permissions you provide.

1.1 Account and profile information

We may collect:

  • Full name
  • Email address
  • Account authentication information
  • Profile photograph, when voluntarily uploaded
  • User role, such as attendee, speaker, moderator, staff, volunteer, or administrator
  • Organization, company, or professional details

1.2 Event participation information

We may process information relating to:

  • Events associated with your account
  • Sessions assigned to or attended by you
  • Speaker or moderator assignments
  • Event attendance and participation records
  • Certificates generated or issued to you
  • Event-related administrative records

1.3 Networking and QR code information

When you use the networking or QR code features, we may process:

  • Your unique application QR code
  • QR scanning activity
  • Connections created between event participants
  • Information displayed to another participant when a connection is made

1.4 User-submitted content

You may voluntarily submit:

  • Profile photographs
  • Event-related photographs
  • Support requests and help centre messages
  • Feedback or other communications

1.5 Technical and device information

The application and its service providers may automatically process limited technical information required to operate, secure, and maintain the application, including:

  • Device type and operating system
  • Application version
  • Firebase installation or device identifiers
  • Authentication and security logs
  • Push-notification tokens
  • Error and diagnostic information, when enabled
  • Approximate timestamps of application activity

NAMA Events does not use this technical information to sell advertising profiles.

2. How We Use Your Information

We use information for purposes including:

  • Creating and authenticating user accounts
  • Providing access to assigned events
  • Displaying event schedules and session information
  • Managing attendees, speakers, moderators, staff, and administrators
  • Enabling QR-based networking and attendance features
  • Sending event announcements and notifications
  • Generating and managing event certificates
  • Providing support and responding to inquiries
  • Maintaining application security
  • Preventing misuse, fraud, and unauthorized access
  • Diagnosing technical problems
  • Improving application functionality and reliability
  • Complying with applicable legal obligations

We do not use personal information for purposes materially different from those described here without providing appropriate notice or obtaining consent where required.

3. Camera, Photos, Contacts, and Device Permissions

The application may request device permissions only when required for a feature you choose to use.

3.1 Camera

The camera may be used for:

  • Scanning event QR codes
  • Connecting with other event participants
  • Supporting attendance verification

Camera access is not activated unless permission is granted through your device. The QR scanner processes the camera view to detect QR codes.

3.2 Photos and media

Photo or media access may be requested when you choose to:

  • Upload or change a profile photograph
  • Upload event-related photographs

The application does not access your complete photo library unless allowed by your device settings and required by the selected upload method.

3.3 Contacts

Where a networking feature allows you to save another participant's details to your device, contacts permission may be requested. This permission is used only to complete the action you initiate.

You can deny or revoke permissions at any time through your device settings. Some features may not operate without the relevant permission.

4. Push Notifications

We may send push notifications relating to:

  • Event announcements
  • Schedule or session changes
  • Important administrative messages
  • Event reminders
  • Other information relevant to your participation

You can disable push notifications through your device settings. Disabling notifications does not delete your account or other information.

5. Third-Party Services

NAMA Events uses service providers to operate its core functions. These providers may process information on our behalf according to their applicable terms and privacy policies.

Email delivery services

These services support account authentication, database storage, uploaded files, application notifications, automated functions, and transactional communications.

We encourage users to review the privacy information provided by relevant third-party service providers.

6. How We Share Information

NAMA Foundation does not sell or rent personal information.

Information may be disclosed in the following situations:

  • To authorized NAMA Foundation personnel and event administrators who need it to manage the application or an event
  • To service providers that host, secure, maintain, or support application functions
  • To other event participants when you intentionally use networking features or information is displayed as part of your event role
  • To comply with applicable laws, court orders, legal processes, or lawful requests
  • To protect the rights, safety, property, or security of NAMA Foundation, application users, or others
  • In connection with an organizational restructuring, subject to appropriate safeguards

Administrators are expected to access personal information only for legitimate event-management and operational purposes.

7. Data Storage and Security

Application information is primarily stored using Google Firebase cloud services.

We use reasonable technical and organizational safeguards intended to protect information against unauthorized access, loss, misuse, alteration, or disclosure. These safeguards may include:

  • Encrypted network transmission using HTTPS
  • Authenticated user access
  • Role-based application permissions
  • Restricted administrative access
  • Firebase database and storage security rules
  • Logging and monitoring of selected operations

No method of electronic transmission or storage is completely secure. Therefore, we cannot guarantee absolute security.

Please do not send passwords, financial information, or other highly confidential information through unencrypted email.

8. Data Retention

We retain information only for as long as reasonably necessary for the purposes described in this policy, including:

  • Operating the application and providing event services
  • Maintaining attendance and participation records
  • Providing certificates
  • Resolving support, security, or administrative matters
  • Meeting legal, accounting, or organizational obligations

Retention periods may vary depending on the type of information, the event, legal requirements, and legitimate organizational needs.

When information is no longer required, we may delete, anonymize, or securely archive it as appropriate.

9. Account and Data Deletion

NAMA Events users may request permanent deletion of their account and associated personal data without needing to reinstall or access the application.

9.1 How to request account deletion

  1. Send an email to apps@namafoundation.org .
  2. Use the subject: NAMA Events Account Deletion Request.
  3. Include your full name and the email address registered with your NAMA Events account.
  4. Clearly state that you want your NAMA Events account and associated personal data deleted.

We may contact you using your registered email address to verify your identity before processing the request.

9.2 Information normally deleted or anonymized

After verification, we will delete or anonymize eligible personal information associated with your account, including where applicable:

  • Firebase Authentication account
  • Name, email address, and profile information
  • Profile photograph
  • Application preferences
  • QR networking connections
  • Push-notification token
  • User-uploaded content associated solely with the account

9.3 Information that may be retained

Limited information may be retained where reasonably necessary for legal, security, fraud-prevention, auditing, certificate, attendance, or organizational record-keeping purposes.

This may include:

  • Event attendance records
  • Previously issued certificate records
  • Security and audit logs
  • Records required to comply with applicable law

Retained information will not be used for unrelated marketing purposes and will be deleted or anonymized when it is no longer required.

9.4 Processing period

Verified deletion requests are normally completed within 30 days. We will contact you if additional time is reasonably required.

To request account deletion, email apps@namafoundation.org from the email address registered with your NAMA Events account.

10. Your Privacy Rights and Choices

Subject to applicable laws, you may have the right to:

  • Request access to personal information about you
  • Request correction of inaccurate information
  • Update selected profile information in the application
  • Request deletion of your account and eligible data
  • Withdraw consent where processing relies on consent
  • Object to or restrict certain processing
  • Request information about how your data is used

You may also manage camera, photo, contacts, and notification permissions through your device settings.

11. Children's Privacy

NAMA Events is intended for authorized participants in NAMA Foundation events and is not directed to children under 13 years of age.

We do not knowingly collect personal information directly from children under 13 without appropriate authorization or consent. If you believe a child has provided personal information improperly, please contact us so that we can investigate and take appropriate action.

Where an event includes minors, the responsible event organizer must ensure that required parental, guardian, or institutional permissions are obtained.

12. International Data Processing

NAMA Foundation and its service providers may process or store information in countries other than the country where you live.

Data-protection laws may differ between countries. Where required, we take reasonable steps to ensure that appropriate safeguards apply to international processing.

13. Changes to This Privacy Policy

We may update this Privacy Policy when application features, data practices, service providers, or legal requirements change.

The revised policy will be published on this page with an updated effective date. Material changes may also be communicated through the application or other appropriate channels.
